Animation room usage policy

The library animation room is used for library activities and the activities of the community for educational, cultural, civic, recreational and charitable purposes.

  1. The Hawkesbury Public Library board:
    • reserves the right to accept or refuse a booking, or to cancel any booking at its discretion for good reasons;
    • sets rental fees.
  2. The CEO authorizes the use of the room.
  3. The library staff maintains the schedule and notifies scheduled users of the unavailability of the meeting room in case of emergencies.
  4. Room booking are guided by the following:
    • library programs and services, meetings and events have first priority for scheduling, after which other applications are considered on a first-come, first-served basis;
    • any municipal resident, group or business, may ask to reserve the animation room;
    • meetings which disturb regular library functions may not be scheduled;
    • all reservations must be made by phone or at the library. A contact name for the group or organization has to be given at that time ;
    • rental fees will be paid on the day of the event;
    • the use of the room has to occur per library hours.
  5. Room use will be guided by the following:
    • damages to the animation room, furnishings and equipment will be charged to the applicant;
    • set up, take down and clean-up will be provided by the library staff;
    • non-alcoholic refreshments and food may be served in the room;
    • the maximum occupancy of the animation room shall be respected as per the fire department regulation (document posted in the room)
